Job Summury:

The purpose of this job is to provide general office management, answering phones, meeting and greeting clients, maintaining records and entering data.

Main functions and responsibilities: 


  1. Provide information by answering questions and requests.

  2. Answer incoming telephone calls and pass them on.  Properly directly calls to employees’ extensions.

  3. Answer phones promptly and uses good judgment to prioritize the distribution of messages in a timely manner.

  4. Receive client’s requests in order to be forwarded to the concerned team members and vice versa.5

  5. Provide information of company’s working hours and locations to clients.

  6. Proceed in addressing concerned employees over loudspeaker whenever urgently needed.

  7. Perform administrative duties such as photocopying whenever requested.

  8. Offer special assistance to employees who are unable to dial, find a certain contact or who are in emergency situations.

  9. Keep a data base of relevant contacts to be used when requested.

  10. Organize travel and hotel arrangements for Chairman, CEO and employees when requested.

  11. Carry out administrative duties such as filing, copying, binding, scanning etc.

  12. Maintain computer and manual filing systems.

  13. Book conference calls, rooms, taxis, couriers, hotels etc.

  14. Responsible for keeping inventory of all office supplies and placing orders for replenishment is needed.

  15. Perform miscellaneous tasks within the scope of work, as assigned by the direct manager.



Job Requirements

Excellent Communication Skills-written and verbal

Maintain professionalism and a positive service attitude at all times

Strong administrative skills

Exceptional customer service skills, over the phone and in person, with our customers and internal departments.

Practical/Technical Experience

1 to 3 years of experience in similar role

Ability to write, speak and interact clearly and professionally.

Verbal fluency in English & Arabic Languages (French is a plus).

Education/ Certifications

Diploma Required.

Computer Skills

Proficiency in MS Word, MS Excel and MS Outlook, E-mail and Internet is a must.
